Position: Operations Officer

Responsibilities:

Operations Officer’s scope of work includes operations, management, process improvement, identifying various compliance issues and strategic planning and development

Main Responsibilities

  • Work closely with the operations manager to monitor daily company administrative processes and procedures
  • Ensure company policies align with and advance business objectives
  • Analyze and maintain operational data
  • Develop improved business functionality that increases efficiency, productivity, and profits
  • Communicate with management teams along with operations manager to confirm execution of company processes
  • Train staff in policies and procedures and supervise their daily work
  • Ensure compliance with best business practices throughout organization
  • Implement improved operational measures and policies that promotes efficiency
  • Work with internal stakeholders and lead discussion for new operations development.
  • Be an internal consultant for the operational special projects such as ERP Implementation, Oracle, Workbook, BambooHR and others
  • Partner with the operation manager and director to create more efficient operations for both front and back teams

Oracle

  • Management of cross functional projects, being focused on overall project plans, scope, and resourcing
  • Tracking project milestones and communicating status to the team during weekly meetings
  • Development of project deliverables such as:
      • Providing support creating approach and materials for Workshops involving both business and technical stakeholders
      • Providing support gathering business requirements and translating into design options
      • Documenting/defining processes to show where business and system processes align
      • Design and development of end-user training materials and communication plans
      • Establishing ‘train the trainer’ model and supporting the execution of it
      • Development of user accepting testing plans/scripts as well as facilitating various testing cycles
      • Coordinating roll-out activities
      • Defining post production support model and coordinating the hand-off between internal teams
    • Executive Level Communication
      • Prepare and facilitate Steering Committee presentations
      • Developing program-level communications to all stakeholder levels
  • Ad-hoc presentations for the business as needed

Chatbot and Intranet

  • Own the timeline and manage both projects to ensure the effective implementation
  • Act as the system administrator for both platforms
  • Track and monitor the efficiency and the effectiveness of both projects
  • Identify issues once the platforms have been implemented and suggest solutions to management and execs
  • Keep up with trends in technology and bring in new technology if it fits to develop and improve the current platforms

Qualifications:

  • Bachelor’s degree in engineering or related field
  • Knowledge of coding languages (e.g. C++, Java, JavaScript) or frameworks/systems (e.g. AngularJS, Git) is required
  • At least 3 years of experience in operations (Fresh grads with internship experience in operations or coding are welcome)
  • Strong business acumen
  • Acute understanding of resource allocation
  • Proficiency in Microsoft Suite and other operational software
  • Adept problem solver and decision maker
  • Excellent communicator both orally and written
  • Detail-oriented
  • Respectful of deadlines
